2. Making a Booking

A booking is considered confirmed once:

  1. We have accepted your booking;

  2. You have received a booking confirmation; and

  3. Any required deposit or payment has been received.

A booking confirmation will normally include the accommodation booked, dates of stay, number of guests, applicable rates and any relevant booking conditions.

The person making the booking is responsible for ensuring that all information supplied to Soul Forest Stays is accurate.

You must be legally entitled to enter into a booking agreement.

Where required, we may request the names and relevant details of all guests staying at the property.

The number of guests staying at the property may not exceed the maximum occupancy specified for the accommodation unless Soul Forest Stays has agreed otherwise in writing.

Bookings may not be transferred to another person without our prior agreement.

4. Rates and Payment

All accommodation rates are quoted in South African Rand (ZAR), unless otherwise stated.

The applicable rate is the rate displayed or quoted at the time the booking is made.

A deposit or full payment may be required to secure a booking, depending on the booking terms applicable to the accommodation and dates selected.

Any additional charges applicable to your booking will be communicated before they become payable wherever reasonably possible.

Payment methods accepted by Soul Forest Stays may include:

  • Electronic funds transfer (EFT)

  • Credit or debit card

  • Online payment

  • Payment through an authorised booking platform

  • Other payment methods specifically agreed with Soul Forest Stays

A booking may be cancelled or released if the required payment is not received within the specified payment period.

5. Cancellation by the Guest

Cancellation terms may vary depending on the accommodation, booking dates, rate selected and booking platform used.

The cancellation policy applicable to your booking will be communicated at the time of booking or included in your booking confirmation.

Where a booking is cancelled within an applicable refundable period, any refund due will be processed in accordance with the relevant cancellation terms.

Where a booking is cancelled after the applicable cancellation deadline, a cancellation fee or loss of deposit may apply.

If you booked through a third-party booking platform, that platform’s cancellation and refund procedures may also apply.

6. Changes to a Booking

Requests to change booking dates, guest numbers or other booking details are subject to availability and may result in a change to the accommodation rate.

We will make reasonable efforts to accommodate changes but cannot guarantee that requested changes will be possible.

Any additional costs resulting from a requested change may be payable by the guest.

7. Cancellation by Soul Forest Stays

In exceptional circumstances, Soul Forest Stays may need to cancel a confirmed booking.

Where this occurs, we will make reasonable efforts to notify the guest as soon as possible.

Where cancellation is due to circumstances within our reasonable control, any refund or alternative arrangement will be handled in accordance with applicable law and the circumstances of the booking.

Where cancellation results from circumstances outside our reasonable control, the provisions relating to force majeure and unforeseen circumstances below may apply.

8. Check-in and Check-out

Any such charge will be reasonable and related to the actual additional cleaning required.

16. Personal Belongings

Guests are responsible for their personal belongings during their stay.

Soul Forest Stays does not accept responsibility for loss, theft or damage to personal belongings unless such liability cannot lawfully be excluded or limited.

Guests should take reasonable precautions and ensure that valuables are appropriately secured.

Where children are permitted at the accommodation, parents or guardians remain responsible for supervising them at all times.

Particular care should be taken around swimming pools, balconies, stairs, fireplaces, roads, water features, natural areas and other potentially hazardous areas.

The availability of child-friendly facilities does not remove the responsibility of parents or guardians to supervise children.

19. Natural Surroundings

Where the accommodation is situated in or near a natural, rural, forest, mountain, coastal or other outdoor environment, guests acknowledge that natural hazards may exist.

These may include uneven surfaces, steep areas, wildlife, insects, plants, weather conditions, water features, fire hazards and other naturally occurring conditions.

20. Liability

Soul Forest Stays will take reasonable care to provide the accommodation and services described at the time of booking.

To the extent permitted by South African law, Soul Forest Stays will not be responsible for loss, damage, injury or inconvenience arising from circumstances beyond our reasonable control or from a guest’s failure to follow reasonable instructions or safety requirements.

Nothing in these Terms is intended to exclude, restrict or limit any right or protection that a consumer has under the Consumer Protection Act or any other applicable law.

Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by law.

21. Facilities and Services

Accommodation facilities, equipment and services may occasionally become unavailable due to maintenance, repairs, weather conditions, utility interruptions or circumstances beyond our reasonable control.

We want our guests to have a positive experience.

If you experience a problem during your stay, please contact us as soon as reasonably possible so that we have an opportunity to investigate and, where reasonably possible, resolve the issue while you are still at the property.
